A Few Tips for Choosing a New Colour Multifunction Printer

Today's office printers usually do much more than just print documents; they will typically offer scanning capabilities and may also work as a fax machine, if you still need one in your office. They can also make copies and alter documents while making copies in a variety of ways, such as adding a watermark or copyright notice. Note a few other features you may need in a colour multifunction printer for your office, so you know you get one that will work for years to come.

Look for cloud or off-site storage

Many small businesses especially use cloud storage for their documents, or some type of off-site storage rather than their own intranet and internal hard drives. Choosing a multifunction printer with cloud compatibility or technology that allows it to connect to your offsite storage can mean sending a document to the printer even when you are also offsite. You can use your computer or tablet on the road or at home and send it to the cloud storage or your offsite storage for printing, and it will automatically connect to the printer in the office. Your documents can then be waiting for you or for someone else without you having to connect your computer to the company's intranet system just to use the printer.

Note the amount of paper it stores

It may seem like a small thing, but if you've ever walked away from a copy job or sent a print job to the printer only to find that it stopped in the middle because the machine ran out of paper, then you know how irritating it is to have undersized cartridges. Note how much paper the machine can hold and, for larger offices with lots of persons using the printer, choose one that can hold hundreds of sheets at the very least rather than just one ream of paper at a time, to cut down on those annoying interruptions.

Power and money savings

Look for more than just a basic, standard "sleep" option on your printer; this refers to a machine becoming idle after so much downtime. Many today will offer more savings features, such as a toner savings option. This can allow you to choose a slightly lighter print for a copy or print job, saving you some toner or ink. Some printers will automatically ask if you want to use a duplex option, meaning printing or copying on two sides of a piece of paper. This can save you quite a bit of paper over time.
